About Reserves: Home

What are reserves?

The library's Reserves collection consists of additional and required resources, identified by the Theme committees, for the undergraduate medical education curriculum. While the library makes every effort to provide access to all additional and required resources, we cannot guarantee that all resources are available electronically via the eReserves portal. Decisions regarding copying and scanning of print resources are based on elements of the Canadian Copyright Act (CCA), and the Fair Dealing element of that Act. Permissions for use may be sought if the required readings exceed CCA allowances. 

Timelines

To ensure that resources, particularly resources that are only available in hard copy, are available electronically at the start of each module, please adhere to the timelines below. We cannot guarantee access to all resources without adequate lead time.  

*Note: Reserves go live the Thursday prior to the start of a new module

4-6 weeks (or more) prior to launch of new module

  • Receipt of module resource list from Themes

4-5 weeks prior to launch of new module

  • Library technician reviews resource list to identify any issues, including dead links, inaccessible documents, and hard copy resources
  • Library technician makes preliminary assessment of hard copy resources for digitization, based upon the six criteria for fair dealing
  • Library technician provides list of resource issues to Education Services Librarian 
  • Library technician inputs resource information into eReserves 
  • Librarian contacts appropriate Theme committees with resource issues that require clarification or decisions
  • Scanning of eligible resources is assigned to library technician
  • Scans are saved as PDF with a terms for use statement 
  • Library technician uploads PDF to appropriate session in eReserves
  • PDF is password protected, and the appropriate module coordinators are given the password to share with learners. Password is always the module coordinator's last name (case sensitive). 
  • Library technician seeks permission to digitize resources that exceed guidelines for copyright and fair dealing 
  • Librarian provides the appropriate Theme committees with alternatives, should requests for permission be denied. 

1- 4 weeks prior to launch of new module 

  • Follow up regarding permissions request if no response has been received 
  • Librarian communicates with Theme(s) if permission is not granted
  • Librarian provides Theme(s) with options for acquiring access to print resources, which may include use of the Scan to Patron service, open access resources, individual purchase or rental of textbook

Thursday before launch of new module

  • eReserves module goes live
